CASE STUDY

GAMMAL Liquor Warehouse (GAMMAL) is a privately owned, warehouse style alcohol distributor, selling wholesale, as well as direct to the public in Western Australia from 2 locations. The owner and CEO, Gemma Gammal, who has worked in the liquor industry for over 10 years, began GAMMAL 3 years ago. The business has been doing well and Gemma has recently purchased 4 independently owned liquor outlets and rebranded them as GAMMAL. Gemma is planning to purchase additional outlets in Victoria and Tasmania in the near future.

GAMMAL operates 6 days a week, open to customers from 0900 to 2000 hours. After 2000 hours, another work crew restock the shelves and do cleaning work until 2200. With the additional stores that have been purchased GAMMAL employs approximately 120 people. The stores are located at the following locations:

The existing properties are:

• Kewdale (warehouse and main office)

• Gosnells

The new properties are:

• Stirling

• Joondalup

• Armadale

• Rockingham

After purchasing the additional stores, it was found that Armadale had been visited by WorkSafe 3 times in the past 6 months. WorkSafe had also issued two improvement notices to the previous owner

While the documents indicate that both notices have been dealt with, Gemma realises that the issues are likely to span all sites. On investigation, it is revealed that all sites have limited WHS knowledge, processes or documents. Gemma really doesn’t know anything about WHS, the legislation, processes or what her responsibilities are to her workers. Gemma has always operated on the ‘fair go’ principle and treated people firmly but fair. However, as a result of the WorkSafe issues, Gemma decides to employ a WHS officer to get the business on track with safety. The WHS officer is you.

As the WHS officer for the organisation, you want to develop a systematic approach to managing WHS. You want to begin the process of developing a safety management system (SMS). You are aware that there are many formats for the system and that these include ways to audit the system as well. You want to gather information and compare two safety management structures and present the information to the WHS committee.

From the list below, select two systems that you will research for presentation to the WHS committee:

• Australian / New Zealand Standard 4804: 2001 (linked to AS/NZS 4801: 2001)

• SafetyMap

• WorkSafe Plan

• British Standard OHSAS 18000:2007

 

Assessment activities

Activity 1

Write a cover page to the research portfolio (collection of information) outlining the objective (what you hope to achieve) of your research. Include on the cover sheet the research strategies (methods of gathering information) that you could use during your research.

Activity 2

For both of the systems you have selected (from the case study above) create a research portfolio that includes:

• Records of your search terms and findings

• Relevant organisational information (i.e. systems in used / used)

• Information from a range of sources (possibly including online, journals, books, etc.)

• Print outs of screen captures of information found

Activity 3

Once you have gathered the information, review it and determine the most useful and reliable sources. Include in your documentation:

• Record of the sites you found most useful (at least 5)

• Record of the sites you found least useful (at least 5)

Your research will need to be communicated to Gemma as written advice. You want to ensure that the document covers all the relevant information, so you develop a document plan to keep you on target.

Activity 4

Write a document plan that includes the following:

• The purpose of your document (why are you writing it)

• Potential appropriate formats for the document (memo, report, email, etc.)

• Any GAMMAL requirements that need to be followed when writing a document (i.e. style guide use)

• What software you will use to complete the written advice

• How you will sequence the information to present a readable document

• Identification of any gaps in the information you have collected

• Use dot points to determine the content

Activity 5

Using your outline developed in activity 4, you now develop a draft of the document. The draft puts all your ideas into one place as a starting point to the final document. Your draft will include:

• The key information from your research

• Your interpretation of that information (analysis and review)

• Include the GAMMAL logo (as detailed in the style guide)

• Use appropriate language for your audience (i.e. the business owner, Gemma Gammal)

• Have the document reviewed by someone else and any spelling and/or grammar errors identified on the draft document

Activity 6

Review your draft and prepare it for submission. You need to:

• Correct any spelling or grammatical errors identified in your draft

• Ensure that the information included meets your objective

• Check the document meets the style guide and that styles are applied consistently and correctly

• Have the document checked (proof-read) by a co-worker or someone you know with sound literacy skills (this is about errors, flow and readability)

• Make any changes required following the proof read

• Produce the final document
