What you have to do 

This assessment requires you to attend a formal meeting, take minutes and provide a review of the meeting process. 

If you are unable to attend a meeting in person, you may use the Tennis Club Meeting video which has been uploaded to the OLS. 

At the end of the meeting, you will need to ask the Chairperson to verify that you have taken the minutes using the Formal Meeting Verification form (see Appendix 1). 

The meeting you attend could be one of a variety of formal meetings and a list of possible ideas for you to consider is given in the task below. 

Tasks 

1. Attend a formal meeting. Examples of formal meetings include the following: 

• an association 

• your workplace 

• a meeting at your local school 

• a sports club 

• a church meeting 

• your local council 

• the Tennis Club Meeting on OLS (the agenda is also available on the OLS) 

2. Provide a copy of the agenda for this meeting. Review the effectiveness of the agenda by commenting on each of the following: 

• Does it have a date? 

• Is the venue identified? 

• Is the name of the organisation included on the agenda? 

• Are the agenda items clear to the participants? 

• Was it available in time for the meeting? 

3. Review the meeting by answering the following: 

• Was the meeting preparation effective? Consider the room bookings, room layout, copies of the agenda and previous minutes, catering (if applicable) and equipment. 

• Comment on whether or not the agenda was followed. Give reasons for your answer. 

• How was order maintained during the meeting? 

• Discuss whether the meeting objectives were met. 

4. Prepare the minutes, including the following documents: 

• first draft/notes of the minutes for this meeting 

• final copy of minutes
