In this assessment task you will demonstrate skills and knowledge required to plan or  review administrative systems and implement new or modified administrative systems. 

Assessment description 

For this task, you will plan a new administrative system or review an existing system  in a business context.  

Your trainer and assessor will arrange for you to have access to a simulated  environment, which will be your education provider. 

You will need to: 

? Consult with users or stakeholders to develop an administrative system or  revise an existing system, which must meet both organisational needs and  external requirements such as codes of practice and legislation. 

? Follow organisational policies to select an appropriate developer or supplier (Appendix 1) 

? Prepare detailed planning for the implementation of the system, including  communication, training and risk management activities in the simulated  environment.

 

Assessor instructions 

Students will need to undertake the assessment in the simulated environment (ANC  simulated office).  

Provide a simulated business context for the student to undertake the assessment.  Students should meet with a staff member of ANC to consult and plan a detailed  implementation of a new or revised version of an existing Administrative system. The  Assessor should book appointment with staff member and allow access to the relevant  policies and procedures. 

Assessor will need to meet with the students to ensure that the environment selected  by the students will allow them for the completion of assessment requirements. For  example, to cover requirements for assessment, trainer assessor should allow  students to access organisational policies (Appendix 1) in a simulated office.  

Assessor should make arrangement for students to have appointment with a staff  member for this assessment. 

 

3. Obtain quotations (through email) from suppliers or developers in accordance  with the relevant organisational policies and procedures (Appendix 1) to  submit to your assessor. You must obtain at least two quotations to compare. 

4. Create a table to compare quotations in accordance with business needs and  select a suitable supplier according to organisation policy (Appendix 1) 

5. Consult with staff and organisational stakeholders to determine implementation  strategies. Collect meeting minutes or other correspondence as evidence of  consultation. 

 Strategies could include, for example: 

I. using external consultants 

II. change management strategies 

III. Strategies for encouraging staff participation in all stages of  implementation 

6. Develop a Gantt chart for the Implementation plan .Include the following  implementation activities in your chart 

I. Physical development of the system and/or installation 

II. Testing 

III. communications to introduce system and procedures 

IV. Skills assessment and training. 

7. Develop a communication (email, letter, or other form of business  correspondence), in accordance with your implementation plan, to introduce the  new system and procedures to staff and explain the purpose of the new system. 

8. Develop written procedures for the use of the system. Include instructions for at  least one troubleshooting or alternative procedure, for example, instructions on  what to do if the system goes off-line or malfunctions. 

9. Provide training and support for staff. Ensure that all of the following options are carried out in accordance with your implementation plan: 

I. Identify the skills required by staff to use the system 

II. Staff training needs. 

III. Develop a 1 page training manual or handbook to train new users of the  system.
