PART 1: Specific task instructions and Scenario

Scenario
You receive the following email from Phillip Gould who is a Solicitor at Leighton+Costello Lawyers advising of an upcoming staff meeting for all professional staff. At the request of the partners of the firm, Phillip has been working closely with Gwen Johnston, the Accounts Manager and the firm's client relations expert. Together they will conduct a staff workshop in professional relationship building to nurture and maintain strong relationships with clients, colleagues and other third parties.Following the recent quality assessment undertaken by staff, Phillip will now be conducting some in-house training during the staff meeting. He requires your assistance to prepare for that training. You are to complete presentation notes on a firm memorandum for distribution at the staff meeting.

As part of the firm’s ongoing commitment to ensure we develop, maintain and nurture our relationships with third parties such as colleagues, clients and court personnel, we require all professional staff to undertake in-house training during the upcoming staff meeting.
This training will focus upon two areas, namely:

• networking; and
• nurturing professional relationships to build referral business for the long term.

I will require you to prepare some notes for presentation during that training in relation to your position as a paralegal. Please set out your notes on a firm memorandum. Your memorandum should be no more than 1,200 words.

Please prepare responses to each of the following.
Topic 1 - Networking
1- List three (3) ways of networking that can assist you in your role as a paralegal to build and maintain networks to benefit the firm?
2- For each of the opportunities that you identified in question 1, provide one (1) example of how this can further expand the firm’s reputation. In that example, explain how you could follow up after the event to maintain the professional relationship.
3-Talk to at least two (2) third parties (colleagues, family, friends etc.) about their use of networking. Based on your discussions, list two (2) possibilities that could exist from your position in the firm to collaborate with others for each of the following purposes:
a. To enhance the reputation of the firm; and bTo identify new and/or improved business practices.

Topic 2 – Referral business
1-Identify two (2) modes of communication the firm could utilise to follow up referrals to generate new business relationships (with clients or other colleagues).

2-Consider the firm’s philosophy statement and code of conduct (refer to the firm’s policy and procedures manual) to assess how you would assist the firm to achieve its goals, while continuing to build on referral business in the long term:

a.List at least two (2) needs for referral services that the firm may have; and

b.Identify three (3) referral products such as relevant associations, conferences and other relationship building opportunities that may benefit the firm’s needs. Include a brief overview of the advantages and disadvantages for each of the program.

3-During the training, all staff will be asked to deliver their ideas about referral business to the partners of the firm with a view to nurturing ongoing business relationships. Please set out two (2) of your own ideas to present at the training by way of introduction.

Ensure you identify sources of information about relevant associations, conferences and other relationship building opportunities.
