Case study: Atlantis Health

Atlantis Health was established in 2017 by joint CEOs, Dr. Alastair Thompson and Dr. Tanya Hopkins. Alastair and Tanya met when they were working in medical practice. They decided to open their own service in an inner-city apartment building, XXXX. The service’s strategy is to open early (7:00 am) and close late (9:00 pm) to cater to the needs of inner-city professionals. The practice offers a range of services that are attractive to young, healthy-lifestyle oriented residents. In 2018, the business expanded into two additional locations similar to high density, new suburbs. Tanya and Alastair made the strategic decision to lease premises in complexes that have a fitness center and café within 100 meters. The practice was re-branded as Atlantis Health. In addition to general practice, each location offers consultations with various wellness practitioners including massage therapy, dietician, chiropractor, and kinesiologist and physiotherapist.

Alastair and Tanya have made the strategic decision to buy two general practices in adjoining inner-city suburbs that are slated for redevelopment over the next five years. Atlantis Health will expand its wellness service offering a comprehensive suite of services across their various locations. Until now each Atlantis Health location has maintained independent practice records. Each of the independent wellness practitioners has stored their own client records.

Following their recent acquisitions, Alastair and Tanya have decided that it is time to integrate the records of the various Atlantis Health sites and services. They have secured the agreement of the various practitioners that lease practice rooms or space at each location. They have engaged you to plan and implement a knowledge and information management system for Atlantis Health. The system must securely store client and patient health records and be available to Atlantis Health employees at each site.

The system must:

  1.  host individual client record that records personal information, health service plans, services provided
  2.  host service information including fees, options, providers for use by health professionals and other employees
  3.  adhere to legal and organisational requirements for privacy and security
  4.  take advantage of technology.

 

A: Consultation – Role-play

Your trainer/assessor is to play the part of the CEO you consult with during the design phase of this project. The purpose of the consultation is to gather data for you to develop the information system.

You will conduct consultation as a role-play. In this discovery phase of the project, your goal is to gather user information that will help you design the system (eg: client information like their age). You should familiarise yourself with the Observation checklist at Appendix A before doing the role play.

B: Design and develop management information and decision support system You must design and test a management information and decision support system to meet
the objectives of Atlantis Health. Your system must utilise technology for optimum efficiency and quality.

You must prepare a communication plan that you will implement to disseminate information about the system (including policies and procedures) ahead of system
deployment. In your plan include the following. Present this to the class using PowerPoints.

1. articulate management information system objectives

2. describe how the management information system will contribute to organizational goals

3. summarise knowledge and data requirements including location, format and timeline requirements

4. outline the methodology that you applied to design and develop the system

5. summarise internal and external specialist consultation (you can link to this detail in a spreadsheet or similar).

6. develop a statement of roles and responsibilities for system developers and users

7. You must demonstrate that the system you have designed achieves its objectives by including authentic evidence of people using the system to access, maintain and
store client data.

8. Develop policies and procedures that explain the system, protecting and sharing client details, maintaining data integrity and security. Your policy documents must
link to relevant legal and regulatory requirements.
