To complete this assessment task, you will need to draw from the information in Topic 5: Organise Business Meetings.
The purpose of this written assessment is for you to demonstrate your ability as an HR officer in the following units of competency and their performance criteria:

Part 1 : Prepare meeting documentation and details
Plan for meeting
a) Based on the issue you chose for your meeting, list the relevant stakeholders for your meeting.
b) Consider remote, face to face and/or a hybrid mode when coordinating the meeting
(particularly if people are not in the same work location). Discuss options and your preferred approach and why. (approx. 100 words)
c) List four (4) pieces of legislation you may need to consider when organising and / or conducting business meetings. Be sure to name in full.
Meeting documentation
a) You are required to send out a notice of meeting to all stakeholders for each of your meetings. Complete the template below:
b) Identify how / when you will distribute the notice of meeting. What sort of notice would you allow so that all attendees are able to attend? Support your reason below.
Prepare for meeting
a) Complete the meeting template below, ensuring all details are covered as you would prepare for this meeting. (You need to complete two templates, as there will be two meetings you conduct, so the information will be different.)
Record Meeting Outcomes
Whilst you are not required to run a meeting, you need to be able to demonstrate the ability to write meeting minutes. This is where you can get creative and put together what you might think would be discussed in the meeting, including who was there (stakeholders), actions required etc. Be sure to complete it in detail as the minutes of meetings are an official record and provide insight into what was discussed and agreed. Again, you need to provide two of these – one for each meeting.
Meeting Reflections
a) Outline how you would organise the meeting around the participants’ requirements (including consideration of remote attendance/time zones/rosters/part time workers etc).
b) Develop a checklist for planning and confirming that resources for the meeting have been organised and/or checked.
c) Now consider some meetings you have participated in or organised previously, and meeting skills you’d like to further develop or enhance in the future to complete the following tasks:
d) Reflect on your strengths and areas for improvement.
e) Identify two opportunities for improvement. List what actions you will take to develop those skills in your workplace.
