Assessment Task 1 (BSBPMG513)
Scenario: The project is now in the execution phase. Abu, the CEO and Project Sponsor has finalised the strategic plan for 2020 and his goal is to grow the Melbourne Campus by 15% over 2019 levels. Abu would like to set up a new computer lab to cater for the expected increase in student numbers. This new lab will cater for 10 students and Abu has asked you to include the purchase and set up of the computers in the lab as part of your overall CMS project. You will need to purchase 10 x additional PCs, 1 x printer and related peripherals and these will be held in storage until the Lab is built. The required software will be delivered as part of the overall RTOManager deployment but the additional PCs, printer and the peripherals will be sourced through the procurement department. The IT Lead (acting for the Chief Information Officer (CIO)) will provide the details of the new equipment requirements to the Quality Specialist for developing the quality criteria that the procurement department will use for purchasing the extra equipment. Testing of this hardware and the peripherals will be done within the IT Department.
PART 1
Task 1.1: Perform a Role Play
In the role play, you will take on the role of a Quality Specialist who has organised the meeting. Your assessor will participate in the role play as the IT Lead. The purpose of the meeting is to discuss the quality requirements and to identify quantifiable quality criteria which will be used later to develop a quality management plan.
Your assessor will arrange for other students to participate in the role play as project team members.
The purpose of the project team meeting is to discuss the quality requirements of the IT department and to identify quantifiable quality criteria.
1. You are required to facilitate the meeting.
2. During the role play, you must:
a. develop and document quality requirements for the project plan
b. participate in a verbal exchange using clear language and appropriate non-verbal features to provide and seek relevant information
c. use active listening and questioning techniques to elicit views and opinions of others
d. interpret information to determine measurable objectives
e. collaborate with others to foster a shared understanding of quality requirements

Task 1.2: Prepare a quality checklist using the template provided electronically in soft copy and shown at the end of this assessment. This checklist will cover all requirements from IT. The checklist will be used for buying the hardware and for later testing in the project. For this task, once the quality checklist is completed it is to be submitted without any other data or information other than the list of requirements as given by the IT Lead during the role play.
Task 1.3: Develop a quality management plan using the template provided electronically in soft copy. This is a separate QMP from the main project but will still be included in your final project management plan. It is to be used for buying the PCs, printers and peripherals according to the organisational policies and to IT’s requirements. The Quality Checklist that forms part of this QMP is to remain blank.
Task 1.4: Write an email to your procurement manager explaining that you have documented the quality requirements as they have been explained by the IT manager and the quality checklist is attached for his reference.
Assessment Task 2 (BSBPMG513)
Scenario: The procurement manager will order the required PCs, printers and relevant peripherals. Following your meeting with your IT Lead you have briefed the Procurement Manager on the requirements and he, in turn, has sent requests off to 4 suppliers for them to quote on the purchase of new PCs. When the responses have been received from the suppliers you need to perform an audit of their responses against the quality checklist to ensure compliance. You need to contact the procurement manager and ask him to provide you with the quotes for the purpose of undertaking a quality assurance audit.
Task 2.1: Write an email to the Procurement Manager requesting that once he receives the responses from the supplier he needs to deliver these to you. You need to explain clearly why you need them.
You then commence this audit against the quality checklist and you find that none of the quotations satisfy the quality criteria set down by the IT department for following points:
• Warranty duration
• Installation service (not included)
• Other factors such as incorrect Processor speed, wrong screen size on the PC and problems with the peripherals that are different to what the IT Manager requires.
After investigating the reason why there are so many problems, you come to understand that the Procurement Manager re-wrote the requirements into their own documentation. In doing so he made several mistakes and therefore, when the requests were issued to the suppliers there were mistakes in the requests.
Task 2.2: Record quality control problems in the provided template (at the end of this assessment and provided as a soft copy) and recommend solutions for them.
Task 2.3: Prepare a second email to the Procurement Manager. In this email you explain the problems in regards to the quotations that have been received and how to fix them.
In this email you are required to:
• Explain what problem has occurred in the procurement process
• Instruct the Procurement Manager to contact the suppliers and apologise for the mistake and ask them to resubmit their quotations based on the attached checklist
• Make recommendations to the procurement manager on the changes that need to occur to his processes to ensure this mistake does not reoccur.
Task 2.4 – Knowledge Test
All answers must be submitted on a separate word document. Answers are to be in your own words and no more than 150 words per question/answer.
Question 1: Using your own words, discuss any five quality management tools, techniques
or methods you would use while planning a project. Minimum of 20 words per tool.
Question 2: Using your own words, describe the role of the Quality Assurance Auditor in the execution of a project.
Question 3: Using your own words, what is the difference between quality assurance and quality control? Support your answer with suitable examples.
Question 4: Write short notes (minimum of 40 words and using your own words) on the following topics:
a. Continuous improvement
b. Total quality management
c. Quality Management System (QMS)
Question 5: Using your own words, identify three factors that can affect the project quality and explain the control measures you can have in place.
Assessment Task 3 – Implement project quality improvements. (BSBPMG513)
Instructions to complete this assessment task:
Using the Albright College Management System case study (or one of your own choosing that has been approved by your trainer/assessor), you are required to answer the tasks below to demonstrate your understanding of and ability to implement your project quality improvements.
Task 3 Scenario
You are now at the end of the project to implement your CMS. The extra building work has also been finished and a new Lab is ready for the students to use. The IT Manager has informed you that all the PCs have been delivered and installed along with the printer which is fully operational as per his requirements.

3. Prepare a brief report (no more than 100 words) based on the activities in Task 2. In your report you must:
a. assess quality control of the project and product output according to agreed quality specifications b. review project outcomes against performance requirements to determine the effectiveness of quality management processes and procedures
