This Project assessment will include two parts with a series of tasks. You can undertake this assessment in the workplace or use the scenario below (Perfect Poolz) as a base to demonstrate the skill requirements relevant to this unit.
If using a workplace scenario, a small business is recommended. Before commencing your assessment, confirm with your assessor that you would like to use a workplace rather than Perfect Poolz. Detail the background of your workplace and the vision of the workplace, regarding cloud computing in the box below. Complete all tasks below in relation to your workplace. Note, it is recommended that the organisational templates for the business case and implementation plan of Perfect Poolz be used in your project submission.
If students do not have a workplace scenario, they will use the Perfect Poolz scenario below to answer the short answer questions.
In this Project assessment you will be required to prepare a business case and a cloud-based computing implementation plan with several sections.
Part 1. You will be required to prepare a business case with several sections included to establish the benefit to introduce cloud-based computing systems to business operations. Business case template. (BSBSMB412_AE_Pro_2of2_SR1.docx) can be used as a template. Appendix 5 should be used for attachments “Supporting work papers for the business case”. Task 2 will requires an oral discussion with colleagues. And Task 7 requires an oral discussion with your manager (teacher or learner support teacher).to review and seek their approval of your draft business case (including cost-benefit analysis).
Part 2. You will be required to develop an implementation plan for the introduction of cloud-based computing systems to business operations. Task 4 will require an oral presentation of key features, organise a training schedule and encourage individuals and teams to become more efficient in using cloud computing. Implementation plan BSBSMB412_AE_Pro_2of2_SR2.docx can be used as a template.
Scenario – Perfect Poolz
Perfect Poolz supply and install customised backyard swimming pools. They also have a service team that attend to pool cleaning services and Perfect Poolz also sell all pool cleaning products. You have just joined the business. This was a family business which started with two siblings (Singa and Luis) since they opened in 1980.
Your boss Luis is a co-founder and manager since 1999. Perfect Poolz employs six sales and service staff that need to invoice and quote while attending customer sites. Currently, the sales and service staff have a document book they use to handwrite quotes and invoices. This information is entered into the desktop computing software by the administration staff back at the office. As the business grew, the business processes have remained the same with some upgrades to the introduction of desktop computers in the 2000s.
Currently, all computers and data are located onsite in their office and showroom. The data is usually backed up on an external hard drive and locked in a safe at the Office/Showroom.
With an increasing number of clients wishing to use online payment services and private client records. Luis is not savvy with computer technology. He struggles with his smartphone and email. He sees technological advances all around him and does not understand or know how to apply the relevant technology to his business. He bought his business partner and sister out in 2002. He has constantly struggled to keep up with the administration and operations including accounts and client records.
Luis has heard about cloud computing and how it can save him money but he did not know where to start. He has no overall ICT strategy. He has hired you as his new bookkeeper and sees that you have completed a unit called ‘introduce cloud computing into business operations.’ Singa suggests that the business should move to work purely in the cloud, both for all its internal procedures and in dealings with clients. The thought that all applications and systems would be cloud-based. From telephone to accounting; email to file storage. This would mean no IT infrastructure was needed, the only requirement is that the team who work from separate locations have access to the internet. One benefit is that then staff will have access to the same information at the same time. Data back up and security was an issue for Luis. His team currently write orders in books and it takes several months to process payments. Singa also thinks a cloud-based accounting system will improve and speed up the processing of payments. Communication with clients is usually via telephone or formal letters.
So he has asked you to investigate and advise on how Luis can move is business operation forward using cloud computing technology. You will work with Luis to develop an ICT strategy to consolidate operations from a manual process to a cohesive automated system, which is accessible from multiple locations. He wants to understand the benefits, especially cost benefits and risks.
Luis also has a strategic goal of increasing sales revenue by 25%. He wants to increase sales activities and revenue without increasing operational budgets, in fact, he wants to reduce the operating budget. The office uses a manual record-keeping system with some information on a database. The information about clients is not consolidated. He would like to offer special discounts to repeat customers but does not know how to identify who is coming back and re-using his services. Another concern is security. He thinks his system of locking up the back up in the safe is best, however friends have told him this is not smart business, and they referred him to the Australian Government Cloud Computing Strategic Direction paper.
He will need to develop policies and procedures re data security. He is interested in improving his security system, especially if he moves to online payments. Training is an issue as he does not have a budget for this and he is not very tech-savvy so is unsure how to best support his team if he decides to introduce cloud computing to his business operations.
Luis is concerned about legal implications due to regulation and data protection responsibilities, in addition, to the adherence of organisational policies, procedures and workplace conventions.
To get started Luis has suggested that you get suggestions from staff on how more time can be freed up for the most valuable tasks.; ask customers where you are succeeding and failing to deliver good and timely service, and find out which methods of communication and interaction they prefer. Document processes and practices, referring to those tasks identified and timed earlier, and identify any expensive bottlenecks. Look again at the business objectives and see if any improvements in working practices or processes could help you meet them.
