Situation

You have accepted the role as Practice Manager for Health Doctors. It is a large, busy, privately owned general doctor’s practice. You are responsible for the smooth running of the practice, all compliance and the management of 4 administrators, 3 nurse practitioners and 4 Doctors. In your first weeks in the role, you realise that there are many issues facing the practice. Generally, there is a lack of procedures. However, more critically, you have observed the team is not well informed on the legal requirements of handling client information.

You have spoken with those you observed and were very shocked to discover that Joan, an experienced administrator, had no knowledge of the requirements for handling client information.
With such a critical issue, it is important that you act promptly. You decide that you need to quickly do the following:

1. Research the client information requirements for a general practice
2. Develop a Documentation policy
3. Review the current paper based storage and make a recommendation for electronic storage
4. Develop a procedure for providing client information over the phone
5. Develop a procedure for handling client complaints
6. Create a Code of Conduct for the practice – ensuring it encompasses the ethical standards
7. Plan the implementation of the policy and procedures
8. Decide how to monitor the effectiveness of the new system
