Craft Collective is a group of co-operative artists and makers who distribute and sell their creative products via a website and at regional market stalls. The website hosts an online catalogue and ordering system, as well as information about the individual artists and makers, and upcoming events, such as exhibitions of artists’ work. The operations of the non-profit co-operative are mostly performed by volunteers, and are funded by membership fees and commission on sales. Contributing artists and makers pay an annual membership fee of $200 and 20% commission on sales. These funds are utilised to pay for the website services, market stall overheads, event costs, and accounting services.
Long-term members are nominated through a consensus decision making process to take on the role of “lead volunteers”. Lead volunteers manage contributor memberships, market stalls, and events. They deal directly with the website service provider, the accountant and financial services, market stall organisers, and event venue owners. Artists and makers, their friends, family and community enthusiasts perform other voluntary duties, including:
• Market stall cash and credit card sales and setup/pack-down
• Manually updating online inventory after market stalls
• Delivering or organising delivery services for online orders
Accounts for individual contributing artists/makers and other volunteers are setup on the website by lead volunteers, who lodge a request with the web service provider. Once setup, contributors can utilise their accounts to maintain their artist/maker profile, to add or remove their products to the online catalogue and inventory system, and to respond to online orders or queries. The online system notifies the artists and makers via email when an order or query is received. Lead volunteers are also notified so as to arrange for other volunteers to fulfil orders when an artist/maker is unavailable. Other volunteers utilise their accounts to fulfil online orders and manually update the online inventory following market stall sales.
Online customers may view products associated with individual artists and makers, or by other categories, such as paintings, prints, sculptures, photographs, clothing, accessories, etc. The online store utilises the typical shopping cart and checkout model, and has facilities for payment via credit card or PayPal. When an online purchase is confirmed and payment details are validated, the inventory system is automatically updated and email notifications are sent to the appropriate artists/makers and lead volunteers.
Weekly sales reports are generated by the online sales service and emailed to lead volunteers, who combine these with market stall sales figures. The funds, less commission, are then distributed to the artists and makers for the products sold. Every quarter (year), these sales records, along with bank statements, are sent to the accountant, who handles the organisations financial affairs (with the tax office etc.). The lead volunteers also present monthly sales reports to the members.
Craft Collective are continuously expanding, with more artists and makers signing up from further afield. They see the need to increase their capacity and generally improve their existing system. As a first step they require a systems analyst’s consultation.
