Description of the groups FTS workshop design / Justification
The workshop design was decided upon and put together by the facilitating group, hereinafter commonly referred to as “the group”. The group used the online workshop creator, provided by “becreate”, to browse methods and put them in order. After an initial introduction to the topic, to create a level playing field for all contestants, the group tested the participants understanding of the topic with a round of Kahoot questions.
The Uploading, as the first official exercise of the workshop, was facilitated in respective teams by asking the participants two questions on their current understanding of the topic and possible solutions that they could think of on the spot. Participants were asked to fill in answers in a provided PowerPoint presentation and subsequently to group the given answers according to commonalities. This method was chosen by the group as it highlights what participants know going into the challenge. Further, it offers the opportunity to compare first solutions, drafted before the workshop, with final solutions at the end of the workshop. For the following segment, Opening 1, the group selected the ABC-Method. The teams were therefore asked to open a prepared Word document, located within the same folder as the PowerPoint. The ABC-Method was chosen, as it is a quick-fire method that can bring about first thoughts in participants. The group selected this method to help participants come up with words for the subsequent exercise. Opening 2 consisted of a Storytelling exercise, using words generated by the participants in the previous task. The main reason this task was chosen over others is its required creativity, which the group wanted unlocked going forward with the workshop. Its interactive element, from one player to the other, further strengthens participants teamwork. As for the Turning Point, the group selected a motivational video on the impact small decisions can have on a person’s motivation and accomplishments. With the topic of the workshop allocated in 2045 we wanted our participants to develop a broad visionary view, hence the selection of the video. The video was followed by the Flower exercise, closing 1, which drew on stories created in the storytelling earlier. The Flower method was chosen mainly due to its collaborative attributes. The teams were split in small groups and had the chance to brainstorm ideas in a more focused and intimate setting, giving them the opportunity to come up with precise solutions. The created flowers and solutions were then put to a vote in Closing 2, when the participants were asked to rate the flowers and solutions within a Decision Matrix. As with all the groups methodological decisions, the aim of selecting the Decision Matrix was to involve each participating person. This method further gave the facilitating group an in-depth view of the participants opinion on each presented solution. The workshop was closed with a Feedback Session from the participating groups towards the facilitating group. Feedback was given by participants in a designated PowerPoint presentation. The group decided to create a distinct PowerPoint presentation with three questions for the feedback to emphasize the importance of the feedback session. Participants were initially asked what they learned from the workshop, followed by what parts of the workshop they enjoyed, and finally what could be improved. Lastly a scale from “sad Pikachu” to “energetic Borat” asked the participants to rate their Friday moods, as the workshop was facilitated well into the Friday afternoon.
Changes after Feedback Session
Major changes from the initial design after the feedback sessions were mainly on the initial part of the workshop, as the facilitating group fully grasped how to facilitate some methods. A point was raised regarding the breaks between the introduction and uploading, so we eliminated a short break in between, as to not break the creative flow of the moment. Further, the feedback of letting participants verbalize their initial ideas was incorporated in the uploading challenge. Another point raised over several workshop activities was the time pressure. Time pressure is used to channel creative ideas into a mental funnel, so the facilitating group adjusted some activities to compress time and create a better flow. Lastly, the feedback session made clear that a larger group might not be the most feasible to handle, which was incorporated by restructuring the workshop to split the participants along team lines into two separate workshops after the introduction presentation. The teams were then reincorporated to a full group for the feedback.
What happened during the workshop?
The workshop consisted of firstly a presentation about the challenge accompanied by a kahoot in order to check how much the participants knew about it. Then, after a short break, the ABC method was carried out, followed by storytelling and then another break. After the break the participants were shown an inspirational video and challenged to make their beds. The activity after that was the flower method, superseded by a decision matrix and finally a feedback session.
The two groups were separated into their respective Groups in Teams for the most part of the workshop with an exception of the times during the initial presentation, the turning point and the feedback session. In order to coordinate the timing of both groups, there were two helpers responsible for each group, who would constantly update each other of their group's progress and try to match the time of finishing the activities.
What went well, what were challenges you faced?
The workshop went well, with minor mistakes and some challenges. The participants who were not able to participate informed us well in advance, so we were able to make necessary changes in the slides for storytelling and flower method.
One of the things that went well was the ease of explaining and leading the workshop activities. Being one of the last groups to lead the workshop, we had the considerable advantage of having participants, who were well trained and knowledgeable of the workshop activities i.e. they were quick to understand the main tasks assigned to them, as well as quick to respond and make decisions.
However, the quick response rate turned out to also have a challenging side in terms of time management. That side was the fact that the activities were carried out much faster than planned and the ones in the beginning would have extensive breaks in between, because the facilitators didn't know what to fill up the rest of the time with.
Another challenge at times was lightening up the mood or mmotivating people to participate in giving immediate feedback during some of the activities and because of that there would be awkward silences among participants at times.
That might also be a result of the online format of workshop, because being apart makes it hard for the group facilitator to connect with the participants.
Another issue arose because of the two participating groups being split into two different Teams meetings. That fact made it difficult to ccoordinatee and ccommunicatee between the two groups facilitating the workshops.
What were the most important findings from the workshop?
What were the recommendations to the case company/organization – what are their potential future business opportunities?
Two groups believe AI and VR will make the healthcare education system better, safer and simpler. One group said that “Students will gain practical experience in their field through VR exercises with specialists from all around the world.” This could be very interesting because without the VR this could be impossible or very expensive to make it happen. And in the future learning with the experts from around the world could be a reality. Having new methods and forms of learning could be great for the attractiveness of the school.
Another group argued that the solution for SOSU School in 2045 is to teach robots. There is an increasing number of elderly people and a decreased interest of people that want pursue the path of social worker/helper?. For that reason, one solution could be for SOSU instead of teaching humans, to develop robots that would take care of those who need. The group imagined that “the robot would have the same emotional intelligence as a standard human being and could fulfil the same human needs as a normal person could.” This could be a reality in 2045.
Another group was able to touch on a blind spot. These group thought that in the future aliens could be the ones teaching at SOSU- “The space nurse will educate all different people for Suso with their team.” This was a very interesting approach because in the future traveling to space and living outside planet earth could be a reality. And maybe we will beable to find new forms of life there and why not learn from them? This opens a new discussion about what skills should SOSU teach to serve these new challenges, in the “close” future where space travel is a reality, space nurses and space caretakers will also be needed. So new knowledge and skills should be learned in school to tackle that.
How have these recommendations changed during the course (What would you have recommended before the reading of the literature – after the reading – after the workshop? What are the changes and why did they emerge?)
Our recommendation before the reading and workshop was to recruit helpers that would work closely with patients and that would educate other helpers, creating a network of highly skilled healthcare personnel.
After reading the literature, we recognized that inequality is a large issue in the Danish healthcare system. A lot of people are not getting the treatment that they need so our focus was on trying to reduce the inequalities.
The workshop widened our horizons in a way and made us think even further than we did before. Students participating made scenarios with aliens and robots which, considering the pace the technology is developing, will be highly likely, no matter how crazy it sounds right now. It made us think outside of the box and helped us further develop our ideas. After the workshop, one of our main recommendations was to use robots as an integral part of the healthcare system. It is the best way to reduce inequalities, as it will treat each patient the same. People in need will get the basic assistance they require. By 2045, a lot of helpers will be missing from the healthcare system and robots will be the ones that will take over theworkload and fill the gap between extra patients and lack of personnel. All of this will result in balance which will create a better experience for the patient.
