You have two option to choose from a) the Coopers Cars Dealership case or b) defining your own business case:

1. Cooper’s Cars Dealership and Services

The following scenario described Cooper’s Cars, a small independent used car dealership and service centre. 

Cooper’s Cars was founded by Jane Cooper in the early 80s. It buys and sells used cars, and also operates a service centre where customers can get basic repair work done, and buy parts for their vehicles. 

Up until now Jane has run the company almost entirely using the bare minimum of manual, paper-based processes. Sales are recorded on paper, cars are taken in for servicing without any records at all, stock taking is patchy, and staff rosters and rates of pay are all managed verbally. She now wants to use a computerised system to track all vehicles which pass through the dealership (both for servicing and for sales – vehicles not sold by the dealership might still come in for the servicing), all parts sold, and parts currently in stock, customer details, staff details, and any other data which can be tracked by the system. 

Where you come in 

You have recently accepted a job with a small data management consultancy firm. Jane has approached the firm looking to modernise her operation through the use of a desktop database management system such as Microsoft Access, as she is hoping to part-retire in the near future and wants to ensure that the dealership will continue to operate efficiently and profitably when she is no longer on hand every day. 

As your consultancy is short-staffed you have lucked out and been put in charge of your first project – and you are determined to show what you are capable of. A senior partner in the firm has assisted you in putting together a rough outline of the project but it’s up to you to deliver the project from here on out.

The rough outline 

With the assistance of a senior partner you have outlined the following steps, which you will use to put together a proposal to present to Jane (continuous overleaf): 

1. The first step required here is to create a data model for the system. This will mean identifying all the database tables (entities) and columns (attributes) appropriate for the system. The tables presented MUST BE FULLY NORMALISED. Tables required will include the following, with some relevant columns mentioned in brackets (this is NOT an exhaustive list of the tables nor of columns):

   1.  Vehicles (date purchased by the dealer, the price paid, target price, date sold, make, model, customer ID of the purchaser, etc.) 

   2. Parts (name, category, the price paid, sale price, etc.) 

   3. Staff Roster (staff ID, shift start time, shift end time) 

   4. Staff, Customers, Vehicle servicing, etc… 

2. Next, you need to insert sample data. You should have enough to demonstrate to Jane the power of the new system to track vehicles, parts, staff pay and rostering, etc. 

3. You need to provide forms so that Jane and her staff can interact with the system. There should be a form to insert new vehicles, to add staff to the roster, and so on 

4. You will need to provide reports for sales receipts, stock summary, etc. 

5. You will need to include basic instructions on how to use the system.

2. Choose your own case

Considering the Coopers’ case above, you have been the opportunity to define/choose your own case: that could be any business – e.g.: a Family Pub, Restaurant, Hairdressers saloon, sports club, private health and childcare business, bus or train information systems, etc. Think of different entities involved in each case, what are their attributes (fields) and how they relate to each another.

Final Submission & Marking Criteria 

You will be marked on your proposal which is to be issued to Jane. This should include: 

1. A short document (min 1000, max 1,500 words) explaining to Jane what advantages will come from this new system. If you choose to model your own case, you have to provide a short description of that case instead

2. Sample images of all the “reports” the system will generate (customer receipt, special order forms, staff roster, etc.) 

3. A working sample database which includes all tables, forms, reports, etc. (bonus points for SQL queries)

4. Short instructions on how to use the database (which forms to use for what, how to create a sales receipt, etc.) 

You will be marked on the completeness (comprehension, for those, chose option b)) of your solution (does it adequately meet Jane’s/custom business needs?), as well as the quality of your report (will Jane want to use it?).
