This project will replace paper-based methods with electronic platforms for healthcare record management at Kundiawa Hospital, Papua New Guinea. Kundiawa Hospital in the Highlands Province has a bed capacity of 300 with 500 employees and also cares for approximately half million patients. The hospital manages six rural health facilities that each keep distinct medical and non-medical records. Today, paper systems are inconsistent, inefficient, and inaccessible. This project recommends the digital record keeping systems implementation to resolve these issues and enhance the healthcare services. The main objectives are the electronic record systems adoption all through the hospital and its peripheral centres, electronic platform education of employees and evaluation of the effectiveness and accessibility effects of digitization. The project will gather data via surveys using internet tools like Google Forms to control and analyse the information. Outcomes include effective record keeping, greater patient access and simplified management operations. Results are going to be shared at conferences and published in peer reviewed journals through workshops for health professionals. With this project Kundiawa Hospital aspires to cause standardised healthcare record keeping in Papua New Guinea, therefore enhancing administrative efficiency and patient care.

Background and context of the project

Kundiawa Hospital is a health facility which serves more or less 50 % a million people in Papua New Guinea's Highlands Province. The medical centre has 300 beds and 500 staffers and also serves the area well. Kundiawa Hospital also operates 6 rural health facilities all over the province offering therapy for the rural population. At present the clinic and its peripheral centres use standard paper based non-medical and medical record management methods. This 'traditional' approach, although once accepted, raises numerous challenges in the contemporary healthcare landscape (Adade Williams, 2020). The volume of paper records produces logistical hurdles with storage, organisation, and retrieval. Furthermore, paper-based record-keeping is manual and thus subject to errors which might compromise administrative effectiveness and patient care.

Kundiawa Hospital and its peripheral centres are geographically dispersed resulting in further challenges. Each rural health facility keeps its very own record collection that is fragmented and lacks interoperability among centres. This decentralised model impedes communication and coordination and prevents uniform healthcare delivery throughout the province. Conscious of all these problems, healthcare record management methods at Kundiawa Hospital and its peripheral centres should be modernised. Eliminating paper-based methods in favour of electronic platforms provides a chance to deal with recurring inefficiencies and enhance patient care (Javaid et al., 2022).
