Scenario
You are the Senior Bookkeeper at ABC Bookkeeping. The organisation (see Appendix 1 for the Organisation Chart) currently uses paper based invoices, however they are looking to introduce cloud computing using MYOB. Part of your role is to develop systems to support employees in understanding and meeting compliance requirements within the business.

Task 1
There is one junior bookkeeper reporting to you. You have noticed that some customer invoices being processed by the junior bookkeeper are not compliant with the ATO requirements for a valid tax invoice.
You are required to conduct research to identify the requirements of a valid tax invoice.
a Develop a simple procedure to confirm that tax invoices issued are compliant with all ATO requirements and then entered into the accounts. This is to be done 3 times – 1) in your first class referring to a paper based system, 2) in week 3 referring to a paper based system, and 3) in week 6 referring to an MYOB system (see Appendix 2 for templates). This is to show that you have reviewed your procedure as your knowledge of accounting processes grows. Submit the procedure as a separate file, ensuring it is professionally laid out and includes all ATO requirements.
b You will hold a team meeting to train the junior bookkeeper on the use of the final version of the new procedure.  Develop and submit an agenda for your team meeting as a separate file.  Ensure you include details of the purpose of the meeting, attendees, date and time. 
c Role-play: For students attending face-to- face classes, this role play will be conducted in class during your normal lesson time. You will be paired with another classmate and role-play both the Senior and Junior bookkeeper roles, and your teacher will observe your interactions with your team mate.

The process for the role-play is as follows:

• Introduce yourself and your role and responsibilities in this team meeting
• Identify and confirm the identity of the persons to whom you are talking
• Conduct the team meeting including the training session
• Respond to at least 2 questions from your attendee
• Ask for suggestions from the team about how the procedure could be improved
• Provide feedback to junior bookkeeper on their success in the training session and advise them that they will receive a certificate of participation
• Thank the team for their attendance

During the meeting, you are required to:

• Use effective communication skills  – at a minimum you must demonstrate an ability to:
• Use clear and concise language and vocabulary
• Demonstrate active listening by asking open questions and seeking feedback from the team member involved
• Use a non-monotone delivery
• Pace/speed maintains interest and effective interactions.

Task 2
You will be required to assist with the induction of a fellow bookkeeper into an Accounting firm – ABC Accounting. Details of the organisation are provided in Appendix 1. You will need to research the internet, and other sources such as your course textbooks. In preparation for this activity you are asked to develop a guide of information to discuss with the new bookkeeper, including:
1. Roles and responsibilities the existing staff in the business (Owner, Accountant, Bookkeeper);
2. Networking and support pathways available to the business owners and employees for advice on compliance and other services;
3. Legislation, regulations, industry standards and organisational requirements to abide by to carry out work;
4. AEPS 110 ethical guidelines specifying principles and practices to be observed;
5. Software programs that are utilised for specific work activities access restrictions required;
6. Publications and other resources available to assist with work activities;
7. Communication and reporting requirements and processes within the organisation and teams;
8. Performance review and management processes.
9. The ABC Accounting Policies and Procedure Manual is attached. In your guide for the new bookkeeper, include a note on who to refer any errors in invoices from suppliers.
