Case Study: LEMER - Landscape Equipment Maintenance and Repair franchise.
Background:
Harry and his business partner Nicole have been running a successful and growing landscaping equipment sales, maintenance and repair business (LEMER Pty Ltd) since 2012. Their clients are primarily commercial landscapers and groundskeepers who use commercial grade ground keeping equipment such as ride-on mowers, wiper snippers, blower-vacs, and grass slashers.
LEMER have a growing team of technicians who may work on site with their clients or in the central workshop. The team need to access and record information wherever they are working. This currently involves a combination of google docs, phone and email, all of which are generally accessed from the technician’s smartphone. Nicole manages the office and is run off her feet dealing with both client enquiries, invoicing, and technician assistance via phone, email, and the various internet apps acquired over the years.
Harry and Nicole realised early in their business that success largely depended on the quality of their team of technicians, many of whom have the qualifications and ability to start their own business. They have consulted a business adviser who is working with them to franchise the LEMER business model so their technicians can opt to start their own landscape equipment maintenance and repair business as part of a LEMER franchise. However, one of the big barriers to being able to franchise the business is LEMER’s lack of a streamlined and reliable information system. You have been employed by Harry and Nicole as a consultant to analyse their information needs and compile a design report.
As you consult with Harry and Nicole you explain the agile process for designing and developing such a complex information system. Because of the eventual complexity of the new information system, you explain the need to start with the design and implementation of a stable core system to which modules can be added and upgraded over time. Nicole explained how tracking clients and their equipment are the core business processes. These core processes include inventory control, recording sales, scheduling and booking maintenance, recording repair details, and invoicing. You explained that each of these processes are related but discrete information systems, each requiring design, development and implementation. After much discussion as to which processes to define as the core initial project, Harry and Nicole finally agree that a system with basic functionality to track clients, schedule and book the equipment maintenance, and record the repair process will be the project you concentrate on for this analysis and design report.
Question:
Harry and Nicole understand their business model very well (how they make money in the business) and their core business processes (the steps involved in carrying out their business). However, they do not understand the Systems Analysis (what is required in the project) and Design processes (how to build and implement the project). Concepts such as ‘defining and building the core system as the first project’ are difficult for Harry and Nicole to grasp.
On the other hand, you as the Systems Analyst are not an expert in Harry and Nicole’s business and don’t understand the finer points of the business that give Harry and Nicole their completive advantage.
Your supervisor Maggie Stone understands that your ability to understand Harry, Nicole, their business model and process is critical to the success of the project. Furthermore Maggie is concerned about how you are going to communicate with Harry and Nicole and how you are going to help them make critical decisions about the project – decisions such as which processes are the most business critical and need to be included in the initial project. Maggie has asked you to write her a memo which includes:
1. Define and give a relevant list of cognitive biases.
2. Contrast your potential cognitive biases as the System’s Analyst (we have many!) with the cognitive biases of Harry and Nicole. Give examples of both a systems analyst’s and a client’s (such as Harry and Nicole) potential biases.
3. Outline how you will go about helping Harry and Nicole understand the concept of an ‘initial project with core functionality’ and then help them make decisions about which processes are most business critical to include in the initial ‘core’ project.
You may make reasonable assumptions based on the information that you have, however assumptions should be noted and specifically mentioned within your memo. Your memo should be no less than one thousand (1000) words and it would be best to be no longer than one thousand five hundred (1500) words long. At least five (5) relevant references are required.
