Sarah Jones is a flower merchant. Her business is to act as an intermediary between flower growers who grow flowers for sale and flower sellers who sell flowers. Flower sellers can either be florists, a small shop that wants to sell flowers as one of the many products they sell, or an independent seller who sells flowers by the side of the road.

As an example, Geoff’s Lily Growers grow lilies. Geoff does not want to spend time maintaining a list of sellers who will buy his flowers and dealing with these sellers. Nor does he want to spend time phoning around to see if anyone wants to buy his flowers.

Jenny Henderson owns and operates Jenny’s Florist. Jenny sells a wide range of flowers. Most flower growers are like Geoff – they only grow one or two types of flowers. Jenny does not have time to ring all the various flower growers to source her flowers for the shop and make individual payments.

Task 1: Gather and evaluate information

The first step in understanding Sarah’s project is to put together some essential information in a Scope document. This statement defines circumstances as they are now – as opposed to what needs to be built in the future. This will also help you define the scope of work that needs to be conducted and produced for Sarah (not just solving the problem – but how you will present the solution to her).

A template for this has been supplied in APPENDIX A: Scope Document at the end of this document.

Fill out the template, specifying the requirements and considerations based on the case study above.

Task 2: Communicate with your client

As a client brief or project outline rarely contains all of the information that you will require to create a perfect solution, you will need to create some additional questions which will help you further understand the problems, processes or business. What else do you need to know that isn’t provided in the case study?

Oral communication skills are a critical aspect of working with clients, so create at least three questions you would like to ask Sarah and record yourself (audio or video) conducting a mock phone interview with Sarah, verbalising the questions you have developed and confirming the overall objectives of this project as you understand them to be.

This is a role play – feel free to ask a friend or colleague to play the role of Sarah. It is acceptable for either/both of you to make reasonably assumptions when answering the questions Aim to be succinct and direct with your language in this form. It will be helpful to script this for yourself prior to the recording.

Task 3: Map the business process – identify inefficiency

Using the any process modelling tools, map the business process in a way that explains the functional and non-functional requirements of the business’ daily operations. Annotate where necessary.

Using the map you have created, analyse the process and look for ways that the business could operate better or more efficiently. Summarise what you believe the inefficiencies are (referring to the Diagram and the case study information).

Task 4: Project feasibility analysis

Now that you have explored the business, its process and its current inefficiencies, you may be gathering some ideas about the project ahead of you. You are required to develop some solutions for the business and create some technical documentation for this.

Before you begin, it is wise to assess how feasible the project will be – i.e. is it possible, reasonable and affordable to produce this project? Think about your timelines, budget, how technically feasible it is, and will the business be able to undergo great changes without great impact to operations? What are the risks of this project?

Task 5: Draft high level solutions

Following your in-depth evaluation of the project requirements, you are now ready to develop some solutions which respond to the problem/s. The solutions you produce will eventually be presented in a single Software Requirements Document (SRD) in the following assessment.

In this task you are required to think about, and suggest, a number of smaller and larger software solutions.

Pull your ideas together in a short summary using dot points to outline your ideas for the project. Each dot point should represent an aspect, part of, or a complete solution for the client.

In the next task you will use each dot point (solution feature) in a table to examine its implications and feasibility.

Task 6: Evaluation and analysis of solutions

Complete the table in APPENDIX C: Analysis of Solutions to systematically assess the value and feasibility of your solutions.

Complete this simple table by entering your dot point solutions in each of the ‘Solutions’ fields, and move along every line, examining the risks and constraints associated with each.

Through this exploration, you will be able to prioritise, add or remove elements in order to bring your final solution together.

Task 7: Update client in writing

It’s important that your client is involved in the process of developing and fine tuning solutions. It is also important that you obtain some feedback on your ideas, documentation, and solutions at an early stage so that you can incorporate this feedback into your final solution (which you will produce in the second assessment).

Clients don’t always understand technical terminology, so ensure you are using the appropriate tone, words and style for this purpose.

Demonstrate your written communication skills by creating an email for your client with an update on your progress.
