Instructions:
Prior to commencing the role-play, you must:
Part A:
The exchange has written digital communication with a colleague
You are required to write an email to your colleague based on the following scenario:
You are rostered as a support worker for the residents on the afternoon shift while David, your colleague, was on day shift. David has left early without your knowledge to attend training in another area of the facility. This afternoon, you start your shift 15 minutes earlier than normal. When you arrive you do not see David anywhere. You have not received any communication from him via email and he has failed to leave a handover updating you on the residents’ current situations. (A handover is a verbal or written communication between staff that overlap in the continual care of clients, e.g. day shift to night shift). This is the second time David has left his shift early without giving the incoming staff any information or notice.
When checking the residents’ rooms, you notice Mr John Wills’ room is dark and he seems to already be in bed. When you come into the room and turn on the light, you see Mr Wills holding his head appearing in pain. You wonder if he has had his 3 pm paracetamol medication as he suffers headaches. After completing other duties and your room checks the time is now 4.30 pm. You are aware Mr Wills has early-onset dementia so you are unable to ask him reliably if he has taken his medication. You return to the nurse’s station and realise that Mr Wills’ medication has not been signed off. The tablets remain in the pack. Therefore, you decide to send an email (as you’re aware David is still in the building and he will get an email notification on his phone).
Working in health and community services
Effective written communication
Writing procedures:
1. Use software such as Word to present an email clearly:
2. You are required to include the following items in your email:
Part B: Write a report to your supervisor
You are required to completely prepare a report for your supervisor in writing based on the scenarios part A above, and Part B below. Your report must comply with legal and ethical responsibilities.
Thirty minutes later, you receive a reply from David stating that you are not his boss and he sounds very defensive. David asked you to give the medication to Mr Wills as David had forgotten to administer it during his shift at the time required. He did not explain why Mr. Wills was already in bed and his email is hostile and emotional.
Because David has not followed his duty of care and has not adhered to the organisation’s medication policy and procedure, you decide to report the situation to your supervisor. You reflect that if you had not sent David an email Mr Will would have missed his medication altogether without your knowledge.
