Highlights
Case Study - Booktopian is a not-for-profit organization for selling and exchanging books via a website and at book fair events. The website hosts an online catalogue and ordering/exchange system, as well as information about upcoming book fair events. Membership fees and commission on book sales fund the organization’s operations. Members pay an annual membership fee of $100 and 20% commission on (non-exchange) sales. These funds are utilised to pay for the manager’s salary, the website services, book fair event costs, and accounting services. Booktopian’s manager manages memberships and book fair events, and deals directly with the website service provider, the accounting financial services, and event venue owners. Members perform other duties associated with their own book sales and exchanges,
including:
Booktopian’s website allows users to apply for membership, update their membership details, and to pay or renew their membership fees. Once the manager approves their membership, members can utilise their accounts to add, update, or remove their books on the online catalogue inventory system. Members utilise their accounts to fulfil online orders and manually update the online inventory following book fair event sales. The manager also
maintains information about upcoming book fair events on the website. Online ordering users may view books associated with member virtual stalls, or by other categories, such as romance, adventure, literature, etc. The online store utilises the typical shopping cart and checkout model, and has facilities for payment via credit card or PayPal. Non-member users may purchase as a guest. As well as outright purchasing books from the online store, members may also opt to utilise exchange credits for acquiring books via the checkout model. Members obtain exchange credits via the books they have for sale or exchange. Another member must first endorse the nominated price for each book before exchange credits become available. No commission is charged for books obtained via exchange credits. When online purchases or exchanges are confirmed, and payment details are validated (when applicable), the inventory system is automatically updated and email notifications are sent to the appropriate members. Weekly sales reports are generated by the online sales service and emailed to the manager, who combine these with book fair event figures. The funds, less commission, are then distributed to the members for the products sold. Every quarter (year), these sales records, along with bank and PayPal statements, are sent to the accountant, who handles the organisation’s financial affairs (with the tax office etc.).
