Task 4
This task requires you to address a poor performance issue.
Read the following scenario.
Your organisation’s accounts department has a staff of 4 including the accounting supervisor and 3 accounts officers. You have noted that this department has a high staff turnover. Only one of the accounts officers has remained with the organisation longer than one year. One of the other accounts officers has now given notice and you have decided to have a meeting with this officer and hold an exit interview to assist in establishing the reason for the high staff turnover in the department.
The exiting officer is at first reluctant to discuss their reasons. After assurance of confidentiality and that you truly wish for them to give their opinion, they open up. The officer says that they find it impossible to work with the accounting supervisor and the other longterm accounts officer.
They feel that both these people are constantly picking on them over little things. There is no sense of teamwork. Everybody is watching their back rather than getting on with the job.
Discuss this scenario with other trainees in your group, with your trainer/assessor, work colleagues and any others who may help you come to conclusions.
Consider situations from your own experience that may parallel the scenario. Discuss what you think is the underlying problem. Discuss what you think is the best approach to resolve the problem.

Formal training strategies for improvement
Research the training organisations that are available in your locality, or in a locality convenient for you to travel. You may find it helpful to seek advice from your workplace HR personnel.
Find out the types of training that they offer, the cost of the training and the duration. Identify a training organisation that can provide formal training in your area requiring improvement. Give a summary of the course content, structure and cost.
Task 7
This task requires you to provide appropriate support services.
Read the following:
Stress and its results are detrimental to the sufferer, but they are also detrimental to the organisation. It can cause:
• Reduced productivity
• Increased mistakes and errors
• Conflict (with colleagues, management and subordinates)
• Grievance and disciplinary incidents
• Sickness and absenteeism
• Low morale and negative atmosphere
• Poor customer services and quality
• Resignations and job terminations (causing increased staff turnover)
• Poor employer reputation among staff, customers, and potential new recruits
As a manager, you should be monitoring the performance of your team and you should notice any behaviour that may be the result of stress or other personal problems.
An Employee Assistance Program (EAP) is a work-based early intervention aimed at the early identification and /or resolution of both work and personal problems that may adversely affect performance. These problems may include, but are not limited to health, marital/relationships, family, financial, substance abuse or emotional concerns.

Using the KRA you developed, first check that it is SMART. If not, you will need to design a different KRA.
Allocating Work
Analyse the duty statement and determine the type of individual you would employ for the job role. Include the following:
• The knowledge they will need
• The skills they will need
• The experience they may need
• The attributes and attitudes essential to effective performance in the job role.
Monitoring
Consider what you will be looking for when monitoring the performance of this individual – assuming they are a new recruit.
Identify one or more individuals (by job role) who can assist you with mentoring the individual and familiarising them with the organisational policies, procedures, processes and personnel. Type a short email to the mentor you have identified (use a fictitious name). Explain what you would like them to do. Ensure you are clear and specific as to their role and responsibilities.
Use this email as an opportunity to give positive feedback to the mentor on the excellence of their performance – which has led you to select them. Clarify what was excellent about their performance.
