Macmillan Games is a medium-sized toy company located in the UK. The company develops online multiplatform games that can be purchased anywhere around the world and has a reputation for producing top quality games for children aged 7 to 11. The company is a major employer in the area, providing jobs for over 1000 employees.
System Description
Since 2000, Macmillan Games used a transaction management system for selling the online games. There were three different types of plans; the “free” account which allows to play the online games without a cost but with advertisements; the “pay monthly” account which eliminates the ads and can be paid monthly and can be cancelled at any time; the “pay annually” account which also eliminates the ads, but it is paid annually usually resulting cheaper than the “pay monthly” account. Out of the three accounts the “pay yearly” account is the most popular and responsible for the majority share of the transactions. In addition to the gaming plans, the transaction management system handled virtual pounds. Virtual pounds can be seen as a prepaid credit card. This is used internally by the employees to make use of the different services within the company. Employees can pay for items using virtual pounds at a variety of vendors – they can spend them on stamps from the post office, drinks for the snack machines and on food from the catering service. Employees are able to add additional funds on the card through an online portal. Virtual pounds are a hit with the employees as they enjoy having the freedom and convenience to pick what they want, when they wanted. Due to corporate cultural issues (as discussed below), the control of the transaction management system spans across the IT, Administrative Support Services and Finance departments. All the money generated from the system goes into a central fund managed by the CEO.
History of the System: Reflection of Corporate Culture
The Transaction Management System (TMS) had been in place for over ten years and within that time frame it had changed hands multiple times. Initially the system was handled by the Network and Server Infrastructure sub-division of the IT Department. The typical system administrator learned about the system on-the-job in an informal fashion, and there was a lack of process or steps that could be reproduced when system administrators changed. Further, when the system was implemented, security was an afterthought and security responsibilities played a minor role in the system administrators’ job duties. As a result, the current state of the system is that (1) there is a lack of formal process in managing the system and (2) the system was never secured. Currently the system is being managed by two administrators – Tom and Jerry from the Network and Server Infrastructure sub-division. They have been in their roles for a little over a year.
