New Zealand Real Estate (NZRE) in Auckland offers a real estate brokerage facility for its clients.  The clients can be buyers or vendors or both. A large number of clients buy and sell properties via NZRE and a database application is required to help automate the process of matching buyers to suitable properties.

The service attracts a significantly high number of clients and the informal paper-based systems that are being used often produce incorrect matching.

The main aim of the new application is to provide a robust system so the matching of vendors to buyers is handled automatically and is presented accurately. It is hoped that the new application will raise the efficiency of the processing of clients’ requests, and as a result expected 10% growth of the business could be achieved.

The office administrator (Mr. Mathew Jones) maintains details about all of the clients (buyers and vendors) who use the service.  Client information includes name, street address, city, postcode, country, phone number and credit status.  A client may only make an offer on another property if the client’s credit status is good. If a client’s credit status is updated from ‘good’ to ‘bad’ then all offers that client has made are deleted. Clients who currently have offers, or a property to sell, cannot be removed.

The clients approach the office either when they have a property to sell or are interested in buying a property. If a client has a property to sell then Mathew records the appropriate data about the property on a property form.  This includes the property description and address and its price range, category, and suburb.  A property can only be deleted if it is unsold and there are no offers for it.

If a client is interested in buying a property then Mathew records the appropriate data about the client’s requirements.  This includes the client’s preferred suburbs, categories and price range.

A client wishing to buy a property contacts Mathew to make an offer on a property.  Several clients can make an offer on one property.  On request from the vendor, Mathew sends off the list of current offers.  Once the vendor has chosen a buyer, the vendor contacts Mathew and tells him which offer has been accepted.  Mathew then updates the successful offer to show it has been accepted, and the property is updated to indicate that it is no longer available.  Unsuccessful offers are marked as being not accepted.  For historical purposes, offers that are successful are not to be deleted. The details of successful offers are kept in the database for two years.
