Written correspondence
All written correspondence should reflect the attitude of excellence that Plan2go wishes to convey to all its customers.
Plan2go requests all staff to adopt plain English principles, use correct spelling, grammar and punctuation in all documents and refer to this Document Style Guidelines regarding format.
Procedures
Ensure that all written correspondence reflects the 5C’s of business etiquette:
1. Clear: The message is understandable to the reader. The ideas are presented logically, and the language is appropriate.
2. Concise: Use short paragraphs, get quickly to the point and convey a positive attitude.
3. Correct: Make sure that all information is confirmed, spelling and punctuation checked, and any errors are corrected.
4. Courteous: Use a polite tone throughout.
5. Complete: Give the document a final check prior to signing.
For consistency, please ensure you:
• Provide both an electronic and hard copy for all outgoing correspondence and file according to departmental procedures
• Print all drafts on recycled paper and print double sided - whenever possible
• Use email and facsimile facilities where appropriate
• Use email for internal correspondence where possible to conserve paper and to achieve rapid delivery
• Use the correct form of address for all correspondence. All staff have access to the client lists, names of suppliers and stores which lists the preferred titles and correct spelling of names.

• business letters
• emails
• spreadsheets
• presentations
• promotional materials.
Standard documents layout
Plan2go is committed to producing professional quality business documents. In order to maintain a professional and consistent image, staff must ensure Plan2go’s style guidelines are applied to all correspondence and promotional material.
Procedures
All staff will:
• Follow the standard documents layout requirements then specific document style requirements.
• Use Plan2go’s business document templates.
• Use the standard format where appropriate – see sample layouts provided.
• Use the closing notation of ‘Yours sincerely’ in all letters.
• Spell-check each document before printing.
• Return draft copies to writer for checking. Edit the checked documents, save and print. Return final draft to writer for checking and signing.
• Ensure that longer reports are bound.
Plan2go logo
Our logo is the benchmark of our brand and one of our most valuable assets. In order to protect the integrity of the brand, the logo should be used properly so that each communication touchpoint is consistently and accurately portrayed.
It’s important to keep the logo clear of any other graphic elements. Please observe the space around the logo to maximise visual effectiveness.
The logo is available in two size formats (depending on the usage):

The Plan2go symbol is an integral part of our branding. It often acts as a secondary branding mark and is available in colour and black/white:
Margins
By default, margins on all documents are:
• Top: 1.8 cm, Bottom: 2.4 cm
• Left: 2.8 cm, Right: 1.8 cm
Margins on other documents such as newsletters, brochures or special reports may vary to suit the material being presented. Consideration must be made to the readability and clarity of the document with the use of white space.
Page numbering, headers and footers
The header of your document should be empty; although the logo must be positioned top right on the first page of any document.
In the footer of your document, the following information is required:
• name of document (on left-hand side) with page number on the right-hand side
• on the line below the date created and/or date updated on left hand side.
The font style option used should be Footer (see standard documents table below for specifics).
Promotional material
All design artwork representing Plan2go must be reviewed and approved by the Promo Crew. This will ensure all artwork is thoroughly reviewed prior to approval and launch on print or publishing platforms.
Documents such as brochures, handouts, promotional leaflets, newsletters, etc. must follow the guidelines set out in this style guide under standard documents layout (e.g. logo, fonts, colours, etc.).
It is the project lead’s responsibility to ensure that their artwork is accurate in every aspect including:
• spelling
• grammar
• colours
• layout
• size
• dimensions, etc.
They are also responsible for ensuring legal/regulatory compliance of any trademarked logos or copyrighted materials.
