Identify or a project you are currently working on or are proposing to undertake, or create one and complete the following tasks:
 

1. Write a summary business case to justify the need/value of your project. In your summary include the following:
a. Project description, purpose and desired outcomes
b. Relationship to the organization’s goals and objectives
c. Organizational benefits (return on investment).
 

2. Create a timeline for your project including as a minimum:
a. Key milestones
b. The Work Breakdown Structure (key tasks and dependencies).
3. Determine the resources required to deliver your project. This should include:
a. Physical resources (equipment, technology, materials etc.)
b. Financial resources (cost estimates, budget breakdown etc.)
c. Human resources (i.e. project team) including:
 

i. Roles and responsibilities
ii. Levels of authority
iii. How and when team members will be consulted with.

4. Identify the project stakeholders and explain:
 

a. Their involvement
b. Issues/ concerns each are likely to have
c. Consultation methods used to obtain their support and input
d. Stakeholder communication plan for the duration of the project.
e. How you will support project team members
5. Identify the potential risks associated with your project. Rate them in terms of likelihood and consequence and document your risk mitigation plan.
6. Identify the control systems and governance you will use to monitor your project’s performance. Include details of:

a. Applicable legislation, regulations, organizational requirements and/or quality standards impacting your project and the steps you will take to ensure compliance
b. Methods and frequency of reporting
c. Project management tools and record keeping systems
d. Methods used to monitor project finances, resources and quality
7. Provide evidence of the procedure for sign-off for commencement of your project from a sponsor or delegating authority. Include in your response a diagram of an organizational structure that highlights lines of approval/ authority.
8. Provide evidence of your ability to achieve the above project deliverables by completing the associated project documentation using the templates provided.
 

TASK 2

Consider a project you have been involved in that has been completed and undertake the following activities.
 

1. Finalize a project:
 

a. Create a brief ‘project completion summary’ to be distributed to the stakeholders involved in the project. Include any information you feel they need to be aware of such as budget achievement, actual performance timeframes, use of resources, incidents that arose etc.
b. Describe the process that would be followed to assign project staff to new roles/duties, now that the project has been completed.
c. List any documentation/meetings/sign off required to officially close the project.

2. Use the Post project review template provided and review your project:
 

a. Compare the actual project outcomes against the intended scope and objectives. Were there any variances? If so, describe the differences and explain what caused them to occur? If not, explain the controls that were or could be in place to ensure the project remained stable.
b. Involving team members in the project review/debrief is a vital part of the process. Do you agree or disagree? Explain your answer.
c. Write a summary of any lessons that can be taken from this project and applied to other areas (or future projects) to improve performance. Who would you share this information with and why?
